Move a Start Time with Bookings

Learn how to reschedule a start time with or without bookings from the availability view.

With the "Move Start Time" feature, you can easily move a start time along with all or selected bookings directly from the Availability View – all in one smooth workflow.

This means you don’t need to create a new schedule for the product beforehand. During the rescheduling process, a new availability schedule is automatically generated, along with any necessary settings and conditions to make the new time bookable.

The feature is particularly useful in unforeseen circumstances where an activity needs to be rescheduled – for example, due to weather conditions, staff shortages, or other practical reasons. It can also be used to adjust the schedule based on operational planning or customer preferences.

Example 1 – Bulk Move of Bookings from a Start Time
You operate a boat tour business with two departures per day. Due to poor weather conditions, one of the departures needs to be cancelled. There are 20 bookings for the affected start time, and using the "Move Start Time" feature, you can easily move all bookings to the afternoon departure. With the same feature, you can also notify all customers of the changes and block the original start time with a single click!

Example 2 – New Start Time Outside the Capacity Schedule
You run a business offering scheduled guided tours and wish to provide customers with an additional tour at a time outside the regular capacity schedule. By using the "Move Start Time" feature, you can quickly and easily add a new start time.



Move a start time with or without bookings

Step 1:
Go to Availability in the left-hand menu and click on the start time you wish to move.

Step 2: Click on "Move Start Time".

Step 3 – Select:

  • The new date and time to which the start time should be moved.

  • Any bookings you wish to include in the move.

  • Whether the original start time should be blocked.

  • Once your preferred selections are made, click "Prepare Move" to proceed

Step 4 – An overview of the Planned changes is displayed:


At this stage, the changes that will be made are shown, and you have the opportunity to adjust your selections. Please note that if any changes are made, the system will automatically return to Step 3.

You can also choose whether one or more messages should be sent to affected customers during the rescheduling process. For example, you may wish to send a notification that the tour has been moved or cancelled, along with a new booking confirmation reflecting the updated start time.

Review the changes carefully and double-check that the planned adjustments are as intended, especially if the modification to the start time increases your capacity. (Read more below in FAQ'S.)

Step 5 – Confirm Move:

If everything looks correct, click "Confirm Move". The start time, along with the selected bookings, will then be moved to the new time, and any messages will be sent accordingly.


FAQs

How can the move affect availability for the new start time?

Changes that impact availability are shown at the top under Planned Changes. Here are two examples:

  • Changed start time capacity:
    If the feature is used to move a booking to a start time that is already fully booked, the system will automatically increase the capacity by the number required to complete the move.

  • Blocked start time:
    This change means the start time will no longer be available for bookings.

Why is the move not being completed?

If the move cannot be completed, it is because the products use resources whose availability prevents the bookings from being moved. An error message will appear, and the planned changes will be cancelled – the move will not be completed.

What happens if the bookings at the start time include multiple products

The feature also allows "Tag-along" products to be included in the move. This means that if a booking contains several different products scheduled at the same start time, those tag-along products can be moved simultaneously.

For example, if the 11:00 start time for a two-person kayak needs to be moved, and a booking includes both a two-person kayak and a single-person kayak at 11:00, that tag-along product can be included in the move.
