Adyen Reports

With Adyen, all your documentation is collected directly in BookSpot, giving you an overview of sales, fees, and payouts. In this article, we go through where the documentation can be found in BookSpot and how Adyen’s reports are structured.

The “Payouts” Tab

Unlike other payment solutions, you can view your payouts from Adyen in BookSpot. This can be found when Adyen is activated under Reports > Payouts.

When you click on a date, you will see a summary of all bookings that the payout consists of.

With Adyen, payouts are made to you once a week.

In the summary, you will see:

Date: When the payment occurred.

Booking: The BookSpot ID of the booking.

Type: Here you will see whether it’s a payment or a refund (with refunds, you get back the BookSpot fee).

Amount: The total amount of the payment.

Fees: The transaction fee from Adyen.

BookSpot Fees: The BookSpot fee.

VAT: The VAT on the fees.

Net: The amount you will be paid out for each booking.

You can also download the payout report as an Excel file by clicking "Download" in the top right corner.

Payout Report

The payout report from Adyen summarises transactions and payouts for a specific period.

  • Tab 1 – Payout Report
    Summarises sales, fees, and the paid-out amount. Useful for quickly reconciling bank transactions and recording total income and expenses.

  • Tab 2 – Details
    Shows each transaction with fees, VAT, and balance. A basis for recording and reconciling individual sales and costs.

  • Tab 3 – Sales Overview
    Provides total sales and VAT per VAT rate. Can be used to easily record different VAT rates.

  • Tab 4 – Sales per Product
    Specifies sales per product. Can be used to allocate income over time and track product sales with this data.

  • Tab 5 – Payments
    List of all payments, booking IDs, and VAT. A good basis for matching payments with sales.

  • Tab 6 – Returns
    Shows any refunds during the period.

How can the report be used in accounting?

This report is a valuable basis for accounting because it:

  • Facilitates reconciliation between sales and bank payouts.

  • Shows VAT amounts per transaction and in total.

  • Provides insight into fees deducted by Adyen and BookSpot.


Set a minimum account balance

To be able to process returns/refunds for bookings paid via Adyen, the refund amount must be available in your Adyen account.

To ensure that you can issue refunds even immediately after a payout from Adyen, you can choose to keep an amount reserved for returns in your Adyen account.

This buffer can be configured under Settings > Payment > Adyen > Minimum account balance.
