Change an existing booking.

Learn how to edit existing bookings in the system.

This article walks you through how you:

  • Change day

  • Change booking length

  • Change products

  • Change rebooking guarantee

If you want your customer to change their booking themselves, read the article about how to add a rebooking guarantee.

  1. The booking can be found in Orders, where you can search for the customer, or the Manifest, where you can click on the magnifying glass to search for the customer.

  2. Open the booking by clicking on their name.

Note! Changes made that are against the system settings will not be saved; such as changes that is agains settings for opening hours, product capacity etc.


Change day and/or time

  1. Click on the time that is to be changed under the heading Booked products, by clicking on "Booked time".

  2. A window will open. Change the start and end fields to the desired time. Note that in order to save the booking, the new start time must be a valid start time for all products in the booking, such as the facility being open at that time, or there being enough available booking slots at the selected time.

Change booking length

  1. Click on the time whose booking length is to be changed and click on "Booked time" below the heading Booked products.

  2. Change the start and/or end time in the window that opens. You can only change to the booking lengths that the product has, and that are valid based on the product's relationship to the opening hours. A product that has start times during opening hours will not be possible to book outside of opening hours, unless "Allow return after closing" is enabled. If you want to be able to change to any times, the product must be set to "Allow any booking length as an administrator" in the product settings under the Availability tab.

Note! If it is not possble to change the booking time for all products that has been booked during the same time, it's possble to add these bookings during a new time. To read more, got to Add more products.

3. If the price is dependand on the booking lenght, update the price for the new booking time by clicking on the three dots and den "Calculate default price". The price will not update if the original price for the products in the booking differs from the new booking lengths.

4. If the price no longer corresponds to what the customer has paid, you might either have to make a refund or take an additional payment. Read more about how to do it here.


Add more products during the duration of the booking.

  1. Click or hover the mouse over the three horisontal dots beside "booked time" and select "Add more products" or use the "+"-button.

  2. Products available the same time, with the same booking length will be available to add by selecting them. If you want to add products that are not available during the same time, continue to the next heading "Add products to a different booking length"

  3. Adjust the quantity of products and click "Add to booking".


Add products to a different booking length

  1. Click the +-button in the top right corner of the Booked product section.

  2. Select "Add more products to a new time".

  3. Select which product to add, choose quantity, booking length and day.

  4. Click "Save & close" if you want to save the changes, or "to payment" if you want to adjust the payment directly.


Add rebooking guarantee

  1. Activate rebooking guarantee by clicking on the on/off-button "Enable rebooking guarantee" in Booked products.

  2. The rebooking guarantee for the products that

  3. Activate rebooking under the "Booked products" section. The cost of the rebooking option will be automatically added to the booking.

  4. The rebooking guarantee for the products that have it will now be added, the total cost probably won't match the payment (except if the rebooking guarantee is free). Add a new payment to adjust the price. Read more on how to do it here.

If you want to send your customers an updated version of the booking confirmation, click on the button "Receipt" in the section Payment and send it to their email.


System messages

If this system message shows up when you've made changes in a booking, there aren't sufficient products available during the chosen booking length or date.

If a product's quantity is marked in red with -1 as the quantity in a booking when you open it without having made any changes to the booking, it is because some settings have been changed after the customer made the booking, which renders the booking invalid. Examples of what may have changed:

  1. The facility's opening hours.

  2. The product capacity.

  3. The quantity of products that are available for renting at the same time.

  4. The setting for minimum or maximum quantity of a product available to book in one booking.

  5. The booking is going on after closing and the option "Allow return after closing time" is inactive for the product.

  6. The length of a booking does not match the booking length set for the product, if you set specific booking lengths for your product. This also applies for products that are available on scheduled dates and start times.

  7. The start time for the booking does not match the start times that are set for the product, applies for products available on scheduled dates and times.

This system message can appear if you have chosen an ednd ate that is before the start time.
