In the calendar view, BookSpot users can get a clear overview of their bookings across weeks, months, and the entire year.
With different calendar layouts, grouping options, and the ability to add comments and internal notes, planning your operations becomes a little easier.
Different Calendar Views
Timeline: This view shows bookings for each product.
Month View: Provides a good overview of all bookings for the month.
Week View: Displays your bookings day-by-day for the coming week.
Day View: Shows the current day’s calendar, including how many bookings/products are scheduled at each time slot.
Group Bookings
By clicking “Group bookings”, you can choose to summarise events in the calendar by day, start time, or not at all.
You can also decide whether all bookings should be shown per day, or whether only the number of bookings per product or per product category should be displayed.
For a kayak rental business with many start times and bookings per day during peak season, the most efficient option is to group by product category and day. This allows you to easily see how many bookings of each category are scheduled for that day.
You’ll then see a summary like this:
This makes it easy to view how many Corporate Bookings, Kayaks, SUPs, and Course Participants your business will handle each day. If you'd like to see how many are coming per start time, or the number of bookings per individual product, you can change the grouping accordingly.
Create Custom Calendar Events
Sometimes, you may need to communicate or remember information related to a specific time period that isn’t connected to a booking or product.
To create a calendar event, simply click on a date in the calendar. A popup will appear where you can enter a title, the time period the event applies to (all-day, specific times and start/end dates), a description and even assign the event to a specific BookSpot user (in this case "Anton").
Once created, the event will appear in the calendar like this on the selected dates:
Calendar Settings
In the top right corner of the calendar, you'll see three vertical dots where you can access Calendar Settings.
Here, you can choose:
How many calendar events should be displayed per day
What labels/information the calendar should show
There’s also a “Group calendar events” setting, where you can choose whether bookings with multiple booked times should appear as a single event. If this is not enabled, bookings with multiple products will be shown multiple times in the calendar (for each start time and date included in the booking).
Colour-Code Your Products & Categories
Products
To improve visibility and quickly differentiate between products in both the calendar and the Availability view, you can now assign colours to your products.
Go to Products & Experiences > Edit (on the desired product) > Information > Internal Colour.

You can also assign colours to product categories: Products > Product Categories > Edit > Internal Colour.
