Learn how to use the Availability overview page

The availability page is a great tool to get an overview of the availability of all products and experiences at your facility.


With just a few clicks, you can create new start times, adjust capacity for existing start times, or block and close selected start times. Here is a brief summary of what you can do:

  • See all start times for all products from a single view.

  • For each start time, see how many spots are available and booked.

  • Select any start time and block all or part of the capacity.

    • If a product has identifiers, you can block specific identifiers for given start time.

  • Select any start time and increase or decrease the capacity. Note! If a product has automatic start times, changing capacity will affect all start times on that day.

  • For a specific start time, see all bookings that are scheduled for that time.

  • When managing many products with numerous start times, you can use the filter function:

    • Only display start times with bookings.

    • Only display tart times that are fully booked.

    • Only display "almost full booked" start times (more than 80% capacity booked).

    • Only display blocked start times.

    • Only display start times for selected products.

    • Only display start times between specific times, e.g., between 12-14.

  • Mass actions: Click on "mass actions" to be bale to mark multiple start times at once to close, for example, all start times för a single product a specific day.

  • Schedule new start times for all products without leaving the page.

    1. By every product name there's a button with a clock icon. Click on it to schedule new start times.

    2. In the popup window, you can now both schedule capacity directly in the calendar as well as managing the opening hours for the product.

  • Switch between Product and start time view:

    • As default, the product view is shown. Here you can see the products to the left, and all the start times for each product in the table.

    • If you instead choose the start time view, the start times will be displayed to the left, and for each start time the scheduled products are displayed.

To use the availability calendar, you need to have at least one product in the system that is activated, either for administrator or for both customer and administrator.


Schedule new start times

To schedule a new start time, go to the product view and click on the symbol to the right of the product you want to schedule.

In the window that opens, you will see information on how to schedule start times for this specific product. How this is done depends on the start time type of the product; read more about how to set start time types here.

If you have automatically generated start times during opening hours, you need to set opening hours for the products (go to Settings > Opening hours). If you want to adjust the product's capacity on certain days that deviate from the normal maximum capacity for the product, you can schedule capacity in the calendar.

If you have any form of manually specified start times, you need to create a new schedule to create new start times. Click the plus button on the day in the calendar where you want to schedule capacity, or click on the "New schedule" button.

Otherwise, this works the same as when you set capacity from the product setting. Read more about how to set capacity here.


Block a start time

It is easy to block or disable a specific start time fro the availability calendar.

  1. Click on the start time you want to block.

  2. In the window that opens, click on "Block start time".

  3. Choose whether you want to block only this start time, or if you want to block all start times from this one until another specified day and time.

  4. Select whether you want to block the start time entirely, or if you want to block a few places.

    • If you use product identifiers, you can choose which specific identifiers you want to block.

  5. Click "Save":


Change capacity for a start time

If you want to change the capacity of a specific start time, you can easily do this in the availability calendar.

  1. Click on the start time you want to change.

  2. In the window that opens, click on "Change capacity".

  3. Select the new capacity for the start time.

  4. The capacity will be saved automatically.

Note! If your product has the start time type "Automatically generated start times during opening hours", the capacity will always be the same for a given day. If you change the capacity for one start time, all start times on that day will be updated.

To adjust the capacity for a specific start time, the product must have manually set start times.


Block multiple start times at once (Bulk actions)

If you want to close all start times for a product on a specific day, you can easily do this by clicking on "Bulk actions".

  1. Click on "Bulk actions".

  2. Select the start times you want to block. To select all start times for a specific product on a particular day, you can click the check box above the start times, as shown below

  3. Click on "Block start times" in the box at the bottom.

If you want to remove multiple blocks from start times, you can do this in the same way, but click "remove blocks".


View a booking on a start time

To view a booking manifest for a specific start time for a particular product, follow these steps:

  1. Go to the start time view and click on the start time of which you want see the bookings.

  2. In the window that opens, click on "View bookings".

  3. Alla bookings that start at this time and have booked the selected product will now be displayed.

  4. If you want to view bookings that extend beyond the start time (bookings that started before and are still ongoing), activate "show bookings that extend beyond start time".

  5. If the product has one or more alias products and you want to view bookings for these as well, activate "Show bookings for alias products".

  6. If you want to print a list of the bookings, click on the printer icon at the top of the window.

the list of booking swill function the same as a the booking manifest. Any changes you make to the appearance of the booking manifest will also be reflected here. For information about how to set up the Manifest, read more here.
