Learn how the different payment options work, and how you administrate payments manually.

In the booking system, you have the ability to choose payment option based on the need of your business.

You can find Payment solutions under Settings > Payments.

In this article, we are going to go through the different payment options that you can offer your customers.


Online Payment Solutions

An online payment provider are some of the external payment services that are connected to the booking system, such as Dintero or Stripe. With an online payment solution, you can ensure that the customer has paid for their booking in advance.

This also allows you as an administrator to process refunds and send payment links directly to the customer through the system.

Offline payment methods

It can sometimes be useful to allow customers to pay outside of BookSpot. BookSpot has three different offline payment methods that can be activated for your customers.

It is important that you specify the payment terms in the instructions, as well as information that is important for customers to be able to make their payment.

Note! Be aware that offline payment methods can result in 'no-shows' or false online bookings since prepayment is not mandatory.


Bank transfer

You can allow your customers to pay for their booking through a regular bank transfer.

Before activating this payment method, you need to describe in the instruction field how the payment should be made, for example by providing the bank details to which customers should make the payment.

Remember that as an administrator, you are responsible for ensuring that the payment has been completed, as there is no connection between BookSpot and your bank account that can verify the payment.


Payment by Invoice

You can activate invoicing, which could be a good alternative if you, for example, have business customers. If you customer selects to pay by invoice, you will have to manually send the invoice to the customer and ensure with the bank that the invoice has been paid.

As it often may take a couple of days before the invoice gets paid, it might be good to have a time limit for the payment. This means that, in the example above, that it will not be possible to pay by invoice on bookings made closer than 0 hours before the start time.


Payment on site

You may also choose to activate the offline payment solution "Payment on site". to let customers choose to pay their bookings by, for example, Swish or by card/cash when they arrive at your operation.


Payment options for manual bookings as admin

Even though a booking is created as an administrator, as a last step a payment method has to be registered, as in the picture below.

Here follows a description of the various options:

  • Manual payment - Choose between the payment methods card, swish, cash or invoice. It is a good alternative for drop-in bookings on site. It does require that you use your own checkout system or invoice method to receive payments.

    Afterwards, click on "Register payment".

OBS! No transaction from either the customers or your accounts happens when you register a manual payment. This is only a registration that you make to have the system show that the booking is paid. You make the actual payment with the customer outside the booking system by card, swish, cash or invoice.

  • Payment link - The customer receives an email with a payment link, and the pays via the online payment system. Click on "Send payment link". For this alternative to work you have to have stated an e-mail address on the bookings, as well have at least one online payment method activated.

  • Presentkort/Kupongkod* - Fill in the customers code. Click on "Register coupon code*". Read more about gift cards/coupon codes here.

  • Option "Pay later" - This option is fitting if the customers wants to pay on site but the booking is made beforehand, or if you want to send an invoice and wait until the invoice is paid before registering the payment. We tell you more about how to register payments afterwards below.


Register payments afterwards

With the option "Pay later", you are going to have to register the payment manually when the customers has paid.

Find and open the booking though History or the Booking manifest in the menu.

  1. Open the tab Payment.

  2. Click on the button "New Payment".

  3. Choose between the payment options that has has been described above.

  4. Click on "Save" in the top right corner.
