Introduction for users with the role Agent/Reseller

This guide covers everything you need to know to efficiently manage bookings in BookSpot as an Agent/Reseller.

Welcome to BookSpot! 🎉

As an Agent/Reseller, you have access to the Manifest and Calendar tabs, where you can see the bookings you’ve created.

You can also create new bookings, search for existing ones, make changes, accept payments, issue refunds, and delete the bookings you have created yourself.

Here’s a guide with everything you need to know to manage your agent bookings smoothly in BookSpot.


Account Settings

BookSpot’s back office is available in Swedish, English, and Norwegian.
If you change the language for your user, it will only apply to your account, not the entire facility.


Create a Booking or Check Availability

You create a booking by clicking “+ New Booking”, for example in the left-hand menu. There you can also check if the product is available by seeing whether the product, date, and time you want can be booked.

  1. Add the product to the booking, or check available times by clicking the plus icon to the right.

  2. Choose booking length, date, and start time.

  3. Select price category and quantity.

  4. Click “Complete Booking” to go to customer details, or “+ Add & book more” to add more products.

  5. Enter contact details — either your own or the end customer’s information.

  6. Payment: You can send a payment link or register a payment manually. Click “Pay later” if the booking hasn’t been paid yet.

⚠️ Important: The email address you enter in the contact details will be the one receiving the booking confirmation and all related messages.

You and the Administrator of the facility should agree on whether to use your own details or the end customer’s details here. Regardless, it will always be visible who created the booking.


The Manifest

The Manifest gives you a detailed overview of the day’s bookings created by you. From here, you can also manage these bookings by clicking on the customer’s name.

  2. Print today’s manifest: Includes only the bookings you have created.


Calendar View

The Calendar View gives you an overview of your upcoming bookings further ahead in time — limited to the bookings you have created.


The Booking Card

Each booking has a Booking Card from where the booking is managed.

Customer details: See what the customer has booked and edit customer information.

  • Section: Payments

    • Receipt language: If you create a booking as an admin or want to change the language (e.g. send the confirmation in English), you can update it here.

    • Message history: View all sent or scheduled messages, both to the customer and internally.

    • Gift cards: You can issue refunds in the form of gift cards - read more here.

Payment History

  • View payments made for the booking.

  • Issue refunds using the orange refund icon - read more here.

  • “+ New Payment”: Register a payment or send a payment link. [Read more here]

  • Receipt: Send the booking confirmation to the customer or the email address listed on the booking.

Section: Booked Products

  • Click the booked time to move a booking to a new slot - read more here.

  • Use the three dots on the right to add new products to the booking - read more here.

  • Here you can also change the price and quantity for the booking. If you change the price, please remember to change the payment by either making an additional payment or a refund.

Timeline

See all changes made to the booking since it was created.

Delete Booking

At the bottom, you’ll find the Delete button.

⚠️ Remember to issue a refund before deleting it, if the booking is paid.

If you’re unsure — always check with the facility manager first.


Search for Bookings

Click the magnifying glass in the left-hand menu to search for bookings.

You can search by for example:

  • Booking ID

  • First or last name

  • Comments added to the booking
